Position Overview
We are looking for a highly organized and detail-driven Project Specialist to join our Indianapolis, IN office and support capital project execution from planning through closeout. This position is critical in ensuring procurement coordination, material readiness, and project alignment across engineering teams, vendors, and warehouse operations.
You will play a key role in keeping projects on track by managing timelines, tracking materials, and proactively resolving issues.

Position Overview
We are looking for a highly organized and detail-driven Project Specialist to join our Indianapolis, IN office and support capital project execution from planning through closeout. This position is critical in ensuring procurement coordination, material readiness, and project alignment across engineering teams, vendors, and warehouse operations.
You will play a key role in keeping projects on track by managing timelines, tracking materials, and proactively resolving issues.
Key Responsibilities
- Coordinate project procurement activities and support execution across multiple capital projects
- Create and manage purchase orders (POs) aligned with project scope, budgets, and schedules
- Partner with vendors to track order status, lead times, and delivery schedules
- Collaborate with project teams to ensure materials are delivered on time and meet required-on-site dates
- Work closely with warehouse teams on receiving, storage, and site delivery logistics
- Monitor and report material readiness and project milestones
- Proactively expedite deliveries and resolve supply chain delays
- Identify and escalate procurement risks, including vendor performance issues and delays
- Maintain accurate ERP system records (NetSuite or similar) and project documentation
- Support project setup, reconciliation, and closeout documentation
- Manage multiple projects simultaneously with strong organization and prioritization
Required Qualifications
- Bachelor’s degree in engineering, construction management, business, or related field
(or equivalent relevant experience) - Minimum 2 years of experience in project coordination, procurement, or operations within; Engineering, Construction, Manufacturing, and/or Technical project environments
- Experience managing; Purchase orders, vendor coordination, and material tracking for project-based work
- Strong understanding of project lifecycles and cross-functional coordination
- Advanced skills in Microsoft Excel (tracking, reporting, data analysis)
- Experience using ERP systems such as NetSuite or similar
- Experience in pharmaceutical, life sciences, or regulated manufacturing environments
- Exposure to; Engineering processes, Industrial equipment, and/or Instrumentation systems
