We are seeking a highly organized and detail-oriented Senior Project Specialist for our Indianapolis, Indiana office to support cross-functional teams in the planning, execution, and documentation of engineering and construction projects. This role bridges technical coordination and p support, ensuring projects are delivered efficiently, accurately, and in compliance with industry standards.

Job Responsibilities
  • Assist in planning, execution, and oversight of engineering and construction projects.
  • Coordinate schedules, resources, and documentation across engineering and project teams.
  • Facilitate communication between engineering staff, construction partners, and other departments.
  • Prepare and maintain project documentation including drawings, specifications, contracts, change orders, and submittals.
  • Monitor project progress and performance; provide analytical support and resolve issues.
  • Support development and implementation of engineering processes and best practices.
  • Organize and participate in internal and external coordination meetings; record and distribute meeting minutes.
  • Manage procurement of materials and equipment, ensuring timely delivery to meet project schedules.
  • Enter and maintain data and purchase orders within ERP systems (e.g., NetSuite).
  • Communicate with suppliers to expedite materials and maintain strong working relationships.
  • Generate project reports using NetSuite and Microsoft Excel.
  • Conduct quality assurance reviews and risk assessments.
  • Support training initiatives for engineering teams.
  • Assist with project setup and closeout tasks, including ERP configuration and digital file organization.
  • Support multiple concurrent projects with a high level of accuracy and accountability.
  • Perform additional duties as needed to support project success.
Qualifications
  • Proven experience supporting complex engineering or construction projects in a technical or regulated industry.
  • Proficiency in Microsoft Office - Advanced proficiency in Microsoft Excel, using functions such as SUBTOTAL for data analysis and reporting
  • Experience with NetSuite or other ERP systems.
  • Self-motivated with exceptional organizational skills, attention to detail; able to manage multiple priorities effectively in fast-paced, deadline-driven environment
  • Strong interpersonal and communication skills; able to work effectively in a collaborative team environment.
  • Familiarity with FDA-regulated industries (e.g., pharmaceutical, medical devices).
  • Basic understanding of process equipment and instrumentation.
